AI Prompts for Hiring, Training and Everyday Admin

Running a brokerage doesn't stop at client calls and cases. There's the job advert that needs writing, whether it's your first hire or your fifth, the new starter who needs bringing up to speed, and the staff policy that's been sitting on your list for months. AI can help with all of it, but only if you know how to ask. Here's a simple way to get a better response, plus a few ready to use prompts to get you started. 

Three things every good prompt needs

Most disappointing AI responses come down to a thin prompt rather than a limitation of the tool. Give it these three things and the result is usually worth using:

  1. The setting (who you are and what kind of business you run),
  2. The instruction (exactly what you want it to do)
  3. And a bit of context (extra detail that shapes the result, such as tone, length or an example to work from).

For example:

  1. Setting: I run a mortgage brokerage in the UK.
  2. Instruction: write a job advert for a Client Manager role.
  3. Context: focus on client experience and keep it under 150 words for LinkedIn.

It's also worth keeping related questions in the same conversation rather than starting fresh each time. Most tools remember what you've already told them, so you won't need to re-explain that you run a mortgage brokerage every time you ask something new.

Getting more from the first answer

The first response is rarely the final one, and that's normal rather than a sign the prompt was wrong. It's often worth pushing back before accepting it, and one of the most useful ways is asking it to review its own answer from the other side. Something like "read this back as if you're a first time buyer seeing it for the first time, what would confuse you or put you off" often sharpens a draft more than asking for a straight rewrite, especially for anything client-facing.

If there's an example of your own writing to hand, an old email, a case note, a policy you've already written, paste it in and ask the AI to match that style. It's a fast way to get something that sounds like your brokerage rather than a generic version of it.

If the tool allows it, save the setting once rather than retyping it every time. Depending on the platform this might be called a project, a custom instruction or a skill, but the idea is the same: it remembers who you are and what your brokerage does, so every new conversation doesn't have to start from zero.

Bringing someone new into the brokerage

Writing a job description often gets pushed to the bottom of the list because it eats a whole afternoon you don't have.

"I'm a mortgage broker running a brokerage in the UK. Write me a job description and a short job advert for a [Client Manager / Mortgage Administrator / Adviser, delete as appropriate]. Focus on [client experience / attention to detail / working well as part of a small team, delete or add as appropriate]. Keep the tone approachable rather than corporate, and keep the advert under 150 words so it works for a job board or LinkedIn post."

Getting new starters up to speed faster

Every brokerage has knowledge that only lives in one person's head, usually whoever's been there longest.

"I'm bringing a new starter into my mortgage brokerage who will be [answering new client enquiries / supporting with case administration, delete as appropriate]. Write me a short training script they can use for their first few weeks, covering how to greet a new enquiry, the key questions to ask, and a warm, reassuring tone throughout."

The internal writing that keeps slipping down the list

Policies and staff guidelines matter, but they're rarely urgent enough to get written.

"As the owner of a mortgage brokerage in the UK, write me a short, plain English [workplace wellbeing guideline / flexible working policy / new starter welcome note, delete as appropriate] for my team. Keep it under 400 words and avoid corporate jargon."

You don't need all three at once. Pick whichever is closest to something on your to do list, build your prompt using setting, instruction and context, and see what comes back. It's a starting point, not a finished draft, so the read through and edit is still down to you.
